2013 CONFERENCE THEME AND SCHEDULE
Our theme for the 2013 events is “SAFETY FIRST!”. We encourage all our attendees to consider ways we can enhance school bus safety through all our collective educational and advocacy efforts. These will be highlighted at the Conference!

HOST HOTEL
Our host hotel will be the Albany Hilton located at 40 Lodge Street in Albany, just two
blocks from our State Capitol! The Hilton is completing a nearly $15 million
renovation including all rooms, banquet facilities, lobby and registration
areas, restaurant and bar areas as well. We are excited to be holding our
conference at the Hilton and we are sure you will find it welcoming and an
outstanding venue!
REGISTRATION FEES AND PROCESS
The registration fee for the full Conference will remain at $300.00 and we will be handling the entire registration process through our on-line
registration system. All registrations for all conference, banquet, roadeo and trade show events will be handled through that system.

MEMBERSHIP RENEWALS
We hope EVERYONE is able to attend this year’s conference but understand that some of you will not be able to join us because of budget or other operational reasons. In late May, we will begin sending you membership renewal notices that will assist you in renewing your membership in NYAPT at any time after those notices go out to you. We are eager to bring everyone back into the membership family and encourage you to take advantage of the renewal process this year!
HOTEL ACCOMODATIONS
Overnight rooms at the Albany Hilton will be set at $119.00 per night and the reservations process will open in March.
To reserve a room or rooms, you may call Hilton Reservations directly at 1-800-445-8667 and inform them you are making a reservation on GROUP CODE 1EZK.
You may also use their on-line reservations systems at www.hilton.com and also enter the GROUP CODE 1EZK.
Our room block is open now for reservations and will be open for our conferees and exhibitors and other guests until June 21, 2013.
TRADE SHOW
The Venue
Our Trade Show will be held at the Albany Times Union Center located two blocks from the hotel at 51 South Pearl Street in Albany. It is a world-class sports and entertainment venue boasting some 26,600 square feet of open floor space on the arena floor and another 20,000 square feet of display space in the Exhibition Hall that is located immediately at the entrance to the facility and the arena floor.
The Show and Space
We are finalizing our plans for the initial layout of the trade show space and will be releasing that information along with space reservation weblinks in the coming week and wanted to alert you to that step. We will be doing the space reservation process on line through our web-based registration system and hope it will make our work together easier and efficient.

Forms for Our Exhibitors
Once our exhibitors have signed up for their exhibition space, they will need to contact both CLIFTON PARK CONVENTION SERVICES (our show managers) and the TIMES-UNION CENTER (the venue) for various supplemental needs. These include furnishings for the show, extra carpeting, telephone or internet service and more. See below links to documents to assist in meeting these needs. Our exhibitors should feel free to contact either CPCS or the T-UC for further information and submittal of these forms. THANKS!!

SPONSORSHIP OPPORTUNITIES
At the same time, we will offer opportunities for sponsorships at all levels. These are opportunities to get in front of our members and
attendees. There will be opportunities to support the Conference and Trade Show events, the Roadeo, the Golf Outing and other NYAPT and Cyr Foundation activities. We hope you will consider these opportunities.
ADVERTISING FOR OUR EXHIBITORS
An exciting addition to our advertising capacity this year will be the relationship with the Times Union Center which will be in contact with you to consider use of the Scoreboard and LED ribbons that encircle the arena to get your message out to our attendees and to promote your products, your companies and other information of value to you. We will also be able to offer access to press rooms if you have new products to present or promotions you want to advance. All this is new and presents great avenues for your marketing and product or service placement.
GOLF OUTING
We will soon be posting the sign-up for the 2013 Annual Golf Outing which will be held on Sunday, July 14th, in the immediate Albany Area. The Golf Outing will be held at the WESTERN TURNPIKE GOLF COURSE at 2350 Western Avenue in Guilderland, NY. The Golf Outing will begin as a shotgun start at 1:00 PM.
ROAD-EO DAY
Our 2013 Roadeo Day will be held on Saturday, July 13, 2013. It will be held this year at the CENTER FOR THE DISABLED located at 700 South Pearl Street in Albany, NY.
